Terms & Conditions
Please read before booking
“We”, “us” or “our” refers to Neptuneology LDA, trading as The Kitesurf Lodge. “You” or “your” refers to the client purchasing a package or activity. If booked through an agent, their own terms also apply but do not supersede ours. These Terms & Conditions are binding upon confirmation of your booking.
1. Check-in & General
Check-in time is between 15:00 and 18:00. Please notify us immediately if you expect to arrive after 18:00. Otherwise, we will indicate to you how to self check-in. For arrivals up to 21:30, we strongly recommend booking a taxi, as transfer companies may not reach the lodge before midnight.
- Staff is available at the lodge from 08:00–12:00 and 13:00–18:00.
- €10 will be charged to your bill for any lost key.
- Neptuneology LDA reserves the right to amend these Terms & Conditions at any time.
2. Bookings
All bookings must be requested in writing and include the full name and contact details of the main guest. All correspondence (confirmation, changes, cancellations) will be handled by email, WhatsApp or phone with the main guest.
It is your responsibility to keep your contact details accurate. We will not be held responsible for non-communication resulting from outdated contact information.
We do not accept bookings from persons under 18 years of age. Bookings involving minors must be made by a legal guardian, who must be present during all activities.
Your contract with us becomes binding once you receive written confirmation from us.
3. Payment
A deposit of approximately 30% of your total booking is required within 7 days of booking. Upon request, we can invoice 100% upfront (reducible to 25% on request).
Payment must be made within 10 working days of receiving your invoice, by bank transfer, credit card or PayPal. If payment is not received within this period, the booking will be considered cancelled. For bookings made less than 7 days before arrival, full payment is required upon receipt of the invoice.
Bank transfer and PayPal charges are the responsibility of the client. A booking will only be confirmed once the full invoiced amount is received.
All prices are quoted in Euros. Published prices are accurate at time of publication but may be subject to change. All lessons and equipment rentals must be paid in full before the activity takes place, by cash, bank transfer or online payment.
4. Cancellation by Client
Cancellations must be received in writing from the main guest or booking agent.
- More than 45 days before arrival — full refund minus €25 admin fee + bank transfer costs.
- Between 30 and 45 days before arrival — deposit forfeited, remainder refunded.
- Less than 30 days before arrival — no refund, full amount owed.
- No-show (no prior notification) — non-refundable.
Activity cancellations must be made by email at least 3 days before the activity. Cancellations received later are non-refundable. Change of mind for any reason is non-refundable.
Guests arriving under the influence of alcohol or drugs may be refused participation without refund. The legal guardian of a minor must be present throughout any activity, or the minor may be removed from the activity.
5. Illness, Early Departure & No-Shows
Lessons and rental hours missed due to illness, personal reasons or any circumstances outside of adverse wind conditions are non-refundable.
Accommodation is non-refundable in the event of an early departure, regardless of the reason. Nights not spent at the lodge following an early check-out will not be reimbursed.
6. Cancellation by The Kitesurf Lodge
Your booking is important to us. In the unlikely event that we are unable to deliver a booked service, we will always offer a suitable alternative subject to availability. If no suitable alternative can be provided, we will issue a full refund (excluding activities cancelled due to adverse weather conditions).
7. Lessons – Matching & Semi-Private
For semi-private lessons, we will do our best to match you with a student of a similar level and weight. If we are unable to find a suitable match, your semi-private hours will be converted to private hours at a 2:1 ratio. Example: 12h semi-private = 6h private.
- Wing foil DUO — 1 set of equipment per person, 2 students, 1 instructor.
- Private — you have your own set of equipment, though you may still share the instructor with another student.
- Semi-Private — you share 1 kite for 2 people, 1 instructor.
8. Scheduling
Once payment is confirmed, you will be added to the lesson calendar. Scheduling is based on the latest weather forecast.
Please be available to confirm your participation via WhatsApp the evening before your scheduled lesson.
9. Kitesurf Equipment Rental
Equipment rental is subject to the following conditions:
- The renter signs a liability agreement covering all damage to rented materials. Any pre-existing damage not reported at the time of rental will be the renter’s responsibility — always inspect your gear before use.
- The renter must demonstrate independent kiting ability to one of our instructors.
- The renter waives all rights to hold us liable for personal injuries.
- If an instructor observes misuse of rented materials, the rental contract will be terminated immediately with no refund.
- Minimum rental session: 2 hours (exceptions only in case of drastic wind changes).
- Rescue fee: €30 will be charged if a rescue is required.
Refund – standalone rental (not part of a package)
100% refund if cancellation is given at least 24 hours in advance.
10. Getting to the Kite / Wing Spot
During the summer period (15 June – 15 September), the kite and wing spot is approximately 8 minutes by car or 10 minutes by bike from the lodge. If you do not have a rental car, the following options are available:
- Rent a bike for the return trip (€6) or for the full day (€18).
- Arrange a carpool with another guest.
- Walk along the lagoon trail (approx. 30 minutes).
If you do not have a car, please ensure your equipment is loaded into the school van, which departs approximately 30 minutes before the first lesson of the day — particularly important if you are scheduled in the second or third slot. Please organise this in advance.
On the day of your first lesson or rental, please arrive at the school 1 hour before your scheduled start time to collect your wetsuit, harness and allocated gear. If you are in the second or third slot and have no car, arrive 1 hour before the first lesson of the day to load your equipment into the van.
From 15 September to 14 June, the kite spot is within walking distance of the lodge.
11. Outstanding Balance
It is your responsibility to ensure all payments are settled before departure. If an outstanding balance remains at the time of check-out, we reserve the right to transfer the claim to a debt collection partner. Administrative costs of €75 to €500 will be charged to the client.
12. Changes to Your Booking
Once confirmed, booking changes cannot be guaranteed. Any changes we are able to accommodate are subject to availability. If the requested activity is more expensive than the original, full payment is required before the activity takes place.
Kitesurf courses run on a strict timetable coordinated with other bookings — short-notice changes are not possible. We depart for activities at a set time each day; if you are not present at the designated time or pick-up point, we will have to proceed without you. Maritime Police regulations require us to maintain strict departure times.
13. Travel Insurance
By confirming your booking, you confirm that you and all members of your party are suitably insured for your holiday and for the activities undertaken. We cannot accept liability for loss or injury resulting from your own negligence.
Please inform us at the time of booking of any medical condition or previous injury that may affect your ability to participate, or that our instructors should be aware of. Our instructors reserve the right to refuse participation without appropriate medical certification, or if they believe a condition may affect their ability to manage you safely.
14. Accommodation
Accommodation is offered as part of our packages. From time to time, we may need to arrange alternative accommodation of equivalent standard to meet your request.
You are responsible for your own safety and the security of your belongings at all times. Secure storage for valuables is available on request in shared accommodation.
If you encounter an issue with your accommodation, please contact the lodge manager in the first instance, then contact us if the matter is unresolved.
If you are evicted from accommodation due to your own misconduct, we will not be responsible for finding alternatives or providing compensation. You will be required to pay for any damages caused.
15. Termination of Booking
We reserve the right to terminate your booking without notice if you or any member of your party behaves in a way that is likely to cause distress, damage, danger or annoyance to our staff, fellow guests, third parties or property. Upon such termination, our responsibility to you ceases and we shall not be liable for any costs incurred.
